Benefits for Compliance

As information continues to flow faster, collaborative software gets easier to use and end-users become more technically sophisticated, ensuring that information is properly handled and regulatory requirements are properly met is increasingly difficult. SecureZone was built from the bottom up to enable compliance officers to meet these challenges head on by providing extensive capabilities to keep track of how your organization is managing the access and distribution of all of your firm’s sensitive documents. SecureZone enforces segregation-of-duties and Information Barrier policies by allowing your firm to define what combinations of departments can and cannot share select documents. Extensive auditing tracks both the administrative changes to policies as well as all operations on documents within the SecureZone centralized content repository providing the basis for robust current state as well as full historical reporting. Retention is also enhanced with a complete history of all document versions that are emailed inside and outside the firm or uploaded and downloaded through the Secure Collaboration portal.

Comprehensive Auditing

Operations on all documents within the SecureZone repository are audited to provide a detailed history of how they have been accessed, edited and removed and by whom. Auditing extends to all administrative changes as well including records for updates to all policies, teams and roles. Including a timestamp to mark when the change occurred, Compliance Officers can get a detailed and accurate picture of how users within SecureZone are complying with the company’s governance and regulatory policies.

Snapshots and Retention

Developing the proper retention policy requires the proper balance between keeping information properly archived, over a given time while managing the archives growth. SecureZone simplifies this process without compromising the need to maintain an appropriate level of history. Snapshots of all documents distributed through email are archived along with the email message they were sent with so that your organization has a complete record of what information was sent and when. SecureZone is customizable to fit your firm’s retention strategy and with configuration options to control where and how snapshots are stored and for how long.

Robust Reporting

Building on extensive auditing capabilities, SecureZone provides robust reporting to capture the entire history of a given user or the actions on a particular document. Reports can be used to refine policies and refocus user access to documents within the repository. In addition, SecureZone provides reports that help identify when roles are being over or under utilized to insure that access rights are being distributed according to company policy.

Information Barriers and Segregation-of-duties

Enforcing segregation-of-duties, or Information Barriers, has been a hallmark of SecureZone since its inception. Organizations continually struggle with the ability to guarantee that internal, mutually exclusive groups do not share certain sensitive documents. Whether required by government regulations or a requirement to keep certain documents top-secret within the firm, SecureZone provides a simplified mechanism to designate those combinations of people or groups that can and cannot be given access to the same set of documents.
